This page explains the WhatsApp experience in everyday language. No technical setup. No secrets. Just what happens, who does what, and why it is safe.

Think of WhatsApp as the front door. RaynAI is the secure office behind that door.

Flow 1 — Register an existing clinic

Use this when the clinic already exists in RaynAI and just needs WhatsApp linked.

What you experience

  1. Choose Register Clinic for WhatsApp
  2. Enter your clinic code (example style: DAYA-K7M4Q2)
  3. Complete verification
  4. Your WhatsApp number is trusted for that clinic

If something goes wrong

  • Wrong code → you are asked to try again
  • Inactive clinic → contact support (WhatsApp alone cannot override this)

Flow 2 — Onboard a new clinic

Use this when a clinic is new and needs approval before it can use the system.

What success looks like

  • You receive a result message
  • You get a clinic code / username (where applicable)
  • You finish setup inside RaynAI (for example First Time User / password)

Why approval exists
So new clinics are reviewed by authorised people — not opened automatically by chat alone.


Flow 3 — Reset password (safely)

Important for trust

  • RaynAI does not put the OTP inside the chat link
  • Messages avoid confirming whether a username exists
  • Full password change happens in the secure RaynAI screen

Flow 4 — Ask for support

WhatsApp starts the request.
RaynAI turns it into a tracked support ticket — not a lost chat history.


Flow 5 — Urgent clinical alerts (Priority / STAT)

WhatsApp can notify people when a case needs attention. Sensitive patient details stay out of the chat.

What the alert includes (typical)
Case reference, clinic, modality, time, secure RaynAI link.

What it deliberately excludes
Patient name, ID/passport, date of birth, diagnosis, report text, and images.


Simple rules to remember

  1. Hi opens the menu
  2. CANCEL returns to the menu
  3. END / EXIT closes the session
  4. WhatsApp is for speed; RaynAI is for the full, secure work
  5. Your organisation may have its own WhatsApp display name and menu wording — same RaynAI core underneath

What managers should approve before go-live

Before launching for a centre, confirm:

  • Display name / WhatsApp number branding
  • Exact menu options users will see
  • Who owns clinic registration and onboarding approvals
  • Who owns support replies
  • Password / OTP recovery rules
  • Priority and STAT alert rules
  • Who can acknowledge STAT cases
  • Escalation timings and recipients
  • Privacy rule: no sensitive patient data in WhatsApp
